Day tours and packages
Definition: Day tours include all scheduled public tours that run for one day or less. Package tours include all scheduled public multi-day tours that run for 3-4 days and may or may not include accommodations, flights, meals, transportation, and multiple attractions and tours.
1 – Payment and reservations
1.1 – All prices are in Canadian Dollars ($CAD) and are subject to an additional 5% General Sales Tax (GST) not included in the published price.
1.2 – All online bookings are subject to a 3.9% service fee not included in the published price.
1.3 – Accepted methods of payment include cash, EMT, cheque, and credit card
1.4 – Payment in full is the only way to guarantee a day-trip booking for the general public — payments must be made in full at the time reservations are made.
1.5 – Commercial account holders will be invoiced following completion of the trip. Commercial account holders must complete payments within 30 days of receiving invoice.
1.6 – Gratuities are gratefully accepted and are at the discretion of the guest. Gratuities are to be paid directly to the tour guide.
1.7 – Price guarantee: Note that all tours, paid in full at the time of booking, are price guaranteed. No additional or hidden fees, increases, or discounts will be applied to pre-paid bookings.
2 – Company cancellations and substitutions
2.1 – The Klondike Experience has a required minimum of four (4) guests for all day-tours. If the minimum number is not met, guests will be notified the day before the tour and receive a 100% refund. The Klondike Experience has a required minimum of two (2) guests for all package tours. All package tour bookings with a minimum of two (2) guests will be guaranteed. We reserve the right to decline requests for single travellers.
2.2 – The Klondike Experience may be forced to cancel a trip or portion thereof due to uncontrollable circumstances such as, but not limited to, flooding, road closures, electrical storms, forest fires, or dangerous weather conditions. In the unlikely event that The Klondike Experience will ever need to cancel a trip, guests will receive as much notice as possible and a 100% refund on their payment. For amendments to trips, see section 2.4.
2.3 – All day trips run “rain or shine”. Tours will run even in inclement weather with the exception of dangerous conditions as described above under 2.2
2.4 – The Klondike Experience reserves the right to substitute a portion of a trip and/or alter advertised timing and/or precise itinerary at the discretion of the company. Reasons for this may include, but are not limited to, weather delays, driving conditions, medical emergencies, and third-party facility closures. Tours amended or altered at the discretion of The Klondike Experience are not eligible for refund, whether full or partial.
3 – Guest cancellations
3.1 – Guests may cancel day tours, with no penalty, up to and including seven (7) days before the departure and receive a 100% refund on their payment.
3.2 – Guests may cancel day tours, with a 50% penalty, up to and including forty-eight (48) hours before the departure and receive a 50% refund on their payment.
3.3 – Day tour cancelations made less than forty-eight (48) hours before a departure are subject to a 100% penalty and are not eligible for a refund or credit.
3.4 – Guests may cancel package tours, with no penalty, up to and including fourteen (14) days before the departure and receive a 100% refund on their payment.
3.5 – Guests may cancel package tours, with a 50% penalty, up to and including seven (7) days before the departure and receive a 50% refund on their payment.
3.6 – Package tour cancellations made less than seven (7) days before a departure are subject to a 100% penalty and are not eligible for a refund or credit.
3.7 – Should the clients’ arrival to the Yukon or to Dawson City be delayed due to complications with their airline, or with any mode of travel, or for any other reason, The Klondike Experience will make its best efforts to offer the best programming available with the time allotted in Dawson City. Should the clients’ arrival to the Yukon or to Dawson City be cancelled due to complications with their airline, or with any mode of travel, or for any other reason, The Klondike Experience will treat this as a guest cancellation and partial refunds, if applicable, will be issued according to the timeline outlined above.
3.8 – Personal travel and trip cancellation insurance is strongly recommended for all guests.
Custom tours
Definition: Custom tours include all non-advertised, privately-negotiated charters, single and multi-day tours, educational trips, bespoke tours, media tours, events, and all other services and tours that are not regularly scheduled or publicly available online.
4 – Payment and reservations
4.1 – All prices are in Canadian Dollars ($CAD) and are subject to an additional 5% General Sales Tax (GST) not included in the published or negotiated price.
4.2 – Accepted methods of payment include cash, EMT, cheque, bank draft, and credit card. Note that for large bookings, the Klondike Experience reserves the right to set the maximum allowable credit card payment at $3,000.00. Payments in excess of $3,000.00 must be made by any other method as described above.
4.3 – New clients and non-account holders will be asked for a deposit of 50% of the value of the custom tour at the time of booking. Payment of the deposit is the only way to guarantee a custom tour reservation.
4.4 – New clients and non-account holders will be asked to pay the balance of their trip 30 days before the beginning of their custom tour.
4.5 – Commercial account holders may or may not be asked to provide a deposit (or payment in full in advance of the trip) according to specific terms negotiated between The Klondike Experience and the Client. The balance will be invoiced following completion of the trip. Commercial account holders must complete balance payment within 30 days of receiving invoice.
4.6 – Gratuities are gratefully accepted and are at the discretion of the guest unless otherwise negotiated in advance of the trip. Gratuities are to be paid directly to the tour guide.
4.7 – Price guarantee: Note that pricing of all tours, air fares, accommodations, and other services are subject to change without notice until payment in full has been received. Once payment in full has been received, The Klondike Experience will fully price guarantee the tour with the exception of any special requests or changes made by the client, and/or any changes to the itinerary resulting from factors outside the control of the The Klondike Experience, including, but not limited to flooding, road closures, electrical storms, forest fires, or dangerous weather conditions.
5 – Company cancellations and substitutions
5.1 – All custom tour bookings are guaranteed, however, The Klondike Experience may be forced to cancel a trip, or portion thereof, due to uncontrollable circumstances such as, but not limited to, flooding, road closures, electrical storms, forest fires, or dangerous weather conditions. In the unlikely event that The Klondike Experience will ever need to cancel a trip, or portion thereof, guests will receive as much notice as possible and a partial refund on the unused portion of their custom tour.
5.2 – The Klondike Experience reserves the right to substitute a portion of a custom tour and/or alter advertised timing and/or precise itinerary at the discretion of the company. Reasons for this may include, but are not limited to, weather delays, driving conditions, medical emergencies, mechanical failure, and third- party facility closures. Custom tours amended or altered at the discretion of The Klondike Experience are not eligible for refund, whether full or partial.
5.3 – All day trips run “rain or shine”. Tours will run even in inclement weather with the exception of dangerous conditions as described above under 5.1 and 5.2.
Examples for the above situations. (1) The weather is such that a pre-planned and pre-paid helicopter trip is impossible. The helicopter trip gets cancelled altogether. Clients receive a 100% refund on that portion of their custom tour. (2) The weather is such that a pre-planned and pre-paid helicopter trip gets delayed, gets pushed to another day in the itinerary, or flies as usual but clients experience less than ideal visibility/weather. Clients do not receive a refund, whether full or partial.
6 – Guest cancellations
6.1 – Guests may cancel custom multi-day tours, either entirely, or partially (ie. drop activities, shorten the length of the tour, or cancel individual participants) with no penalty, up to and including sixty (60) days before the departure and receive a 100% refund on their payment, less non-refundable airline, hotel, and third-party cancellation fees if applicable.
6.2 – Guests may cancel custom multi-day tours, either entirely, or partially (ie. drop activities, shorten the length of the tour, or cancel individual participants) with a 50% penalty on the tour or the amended portion of the tour, up to and including third (30) days before the departure and receive a 50% refund on their payment.
6.3 – Custom multi-day tour cancellations, either full, or partial (ie. drop activities, shorten the length of the tour, or cancel individual participants) made less than thirty (30) days before a departure are subject to a 100% penalty on the tour or the amended portion of the tour, and are not eligible for a refund or credit.
6.4 – Guests may cancel custom single-day tours, with no penalty, up to and including fourteen (14) days before the departure and receive a 100% refund on their payment, less non-refundable airline, hotel, and third-party cancellation fees if applicable.
6.5 – Guests may cancel custom single-day tours, with a 50% penalty, up to and including seven (7) days before the departure and receive a 50% refund on their payment, less non-refundable airline, hotel, and third-party cancellation fees if applicable.
6.6 – Custom single-day tour cancellations made less than seven (7) days before a departure are subject to a 100% penalty and are not eligible for a refund or credit.
6.7 – Should the clients’ arrival to the Yukon or to Dawson City be delayed due to complications with their airline, or with any mode of travel, or for any other reason, The Klondike Experience will make its best efforts to offer the best programming available with the time allotted in Dawson City. For terms and conditions on delays, see 5.2 above.
6.8 – Should the clients’ arrival to the Yukon or to Dawson City be cancelled due to complications with their airline, or with any mode of travel, or for any other reason, The Klondike Experience will treat this as a guest cancellation and partial refunds, if applicable, will be issued according to the timeline outlined above (6.1 – 6.6).
6.9 – Personal travel and trip cancellation insurance is strongly recommended for all guests. Out-of-province (or out-of-country) medical insurance is strongly recommended for all guests, specifically including med-evac coverage.
Additional Information
7 – Accessibility
7.1 – The Klondike Experience strives, to the best of our ability, to help make our tour experiences accessible to all participants. Guests may request an accessible shuttle vehicle, equipped with a lift, upon booking any custom tour, regular day tour, or package tour. The company is pleased to accommodate this request based on availability.
7.2 – Note that some third-party facilities including, but not limited to, Territorial Parks, National Historic Sites, workshop facilities, museums, cultural centres, and sightseeing attractions may not be fully accessible. The Klondike Experience will always make its best effort to help adapt or modify a programme so that all guests can get the most out of their experience.
7.3 – Some tours, including Tombstone Park Day Tour, Aurora Borealis Viewing, the Snow Machine Tour, and many custom tours require a minimal degree of physical fitness and mobility. Guests with any concerns about their ability to meet a minimal degree of physical fitness should contact The Klondike Experience in advance of the tour to discuss.
7.4 – The Klondike Experience is proud to offer all services in French and English. The company does also offer services in multiple other languages depending on the season and availability of guides. The company will strive to accommodate all language requests made well in advance of any tour.
8 – Cold weather policy
Definitions: “Deadhead” refers to an empty shuttle, ie. no clients on-board. In this case, the driver is likely positioning the vehicle for future use. “Short-haul” means there are clients on-board and the group is within 30 minutes drive-time from base, from destination, or from a reasonably safe, heated building. “Long-haul” means there are clients on-board and the group is more than 30 minutes drive-time from base, from destination, or from a reasonably safe, heated building.
8.1 – Drivers shall not attempt to start, idle, or drive vehicles at temperatures equal to, or below, – 45C, with or without passengers.
8.2 – Operating vehicles at temperatures equal to, or below, -38C shall be avoided whenever possible, and is only permitted on short-haul trips or deadheads. Whenever possible, The Klondike Experience will delay or reschedule a tour, or portion thereof, until temperatures are above -35C.
8.3 – Drivers shall not begin a long-haul trip with clients at temperatures equal to or below -35C.
8.4 – Outdoor activities such as, but not limited to, dog sledding, snowshoeing, hiking, walking, and snow machining will be cancelled, substituted, shortened, adapted, modified, rescheduled, or delayed at temperatures equal to, or below, -30C.
8.5 – Tour modifications: The Klondike Experience, or a third-party facility or tour attraction, reserves the right to substitute, shorten, adapt, reschedule or delay any portion of any tour due to cold weather. Refunds will not be issued, either partial or full, for any of the above tour modifications due to cold weather.
8.6 – Tour cancellations: The Klondike Experience, or a third-party facility or tour attraction, reserves the right to cancel any activity or tour due to cold weather. The Klondike Experience will offer a partial refund to clients for the cancelled activity or portion of the tour, provided a reasonable substitution is not offered.
8.7 – The Klondike Experience is not responsible or liable for any expenses, fees, or charges that may occur in the unlikely event that clients’ hotel rooms or commercial flights need to be cancelled or rebooked due to cold weather travel limitations. Personal travel and trip cancellation insurance is strongly recommended for all guests.
8.8 – It is the responsibility of each individual guest to dress appropriately for the weather. Suggested packing lists prepared by The Klondike Experience can be made available in advance of any trip upon request.
8.9 – In all cold weather, or from October 15th to April 15th, all drivers shall exercise extreme caution on all trips. Extreme caution explicitly means the following:
8.9.1 – Trip Plan. Drivers will fill out a trip plan and ensure that at least one (1) other office-based staff member is aware of the plan.
8.9.2 –Emergency Contact. Drivers will establish an emergency contact for the duration of the trip. The emergency contact must be available by phone at all times for the duration of the trip.
8.9.3 – Communications. Drivers will carry cell phone with car-charger AND SAT phone with car-charger on all trips. Drivers will notify their emergency contacts at regular, pre-determined intervals along the route.
8.9.4 – Pre-trip Inspection. Pre-trip inspections are as important as ever in cold weather.
8.9.5 – Gear. Drivers should be self-sufficient in case of vehicle breakdown. This means packing food, water, hot water, sleeping bag, fire starter, candle, fire log, jumper cables, shovel, tow-rope, axe, saw, communication devices as above, and cold-weather personal gear including parka, boots, pants, toque, and mitts. Clients must travel with all of their cold weather gear on their person or at their side (ie. not packed away in their luggage). Driver will provide one (1) sleeping bag for every two (2) clients.
8.9.6 – Risk-mitigation. Drivers shall avoid unnecessary risks including driving on unmaintained roadways, driving out of reach of communications, at night, or in remote areas.
